Privacy Policy — Siensi Group

This policy explains how Siensi Group Limited ("we", "us", "our") collects, uses and protects personal data when you use this website (siensi.co.uk) or engage with the businesses in the Siensi Group. We are committed to protecting your privacy and handling your data in accordance with UK data protection law, including the UK General Data Protection Regulation (UK GDPR) and the Data Protection Act 2018.

1. What information we collect

  • Contact form enquiries: your name, email address, phone number and the content of your message.
  • Correspondence: information you provide when you email, call or otherwise contact us.
  • Client information: if you become a client of a Siensi Group business, we collect the information needed to provide the relevant services (for example identity, contact, financial and tax information for accountancy engagements). This will be explained in your engagement letter.
  • Technical data: our hosting provider records basic server logs (such as IP address and pages requested) for security and operational purposes.

We do not use analytics, advertising or tracking cookies on this website.

2. How we use your information

  • To respond to your enquiry and provide the information or services you have requested
  • To provide services to you under a contract, and to administer that relationship (including billing)
  • To comply with our legal and regulatory obligations, including anti-money-laundering requirements and record-keeping obligations for accountancy work
  • To protect the security of our website and systems

We do not sell your personal data, and we do not use it for third-party marketing.

3. Legal bases

Under UK GDPR, we rely on: contract (to provide services you have engaged us for, or to take steps at your request before entering a contract, such as responding to an enquiry); legal obligation (for example AML checks and statutory record-keeping); legitimate interests (running and securing our business and website, in ways you would reasonably expect); and consent, where we ask for it specifically.

4. Who we share data with

We share personal data only where necessary to operate: with our IT and hosting providers, with professional advisers, with regulators and authorities where required by law (for example HMRC or Companies House in the course of accountancy engagements), and within the Siensi Group where relevant to the service you have requested. Anyone processing data on our behalf is required to protect it appropriately.

5. How long we keep your data

  • Enquiries that do not lead to an engagement: up to 12 months, then deleted.
  • Client records: for the duration of the engagement and normally 6 years afterwards, in line with tax and professional record-keeping requirements.
  • Server logs: retained by our hosting provider on a short rolling basis.

6. Security

This website is served over HTTPS, and we apply appropriate technical and organisational measures to protect the personal data we hold. Where data is stored or processed by our providers, we choose providers with appropriate security standards. In the unlikely event of a personal data breach that risks your rights and freedoms, we will notify you and the Information Commissioner's Office as required by law.

7. International transfers

We aim to keep personal data in the UK or the European Economic Area. Where a provider processes data outside these areas, we ensure appropriate safeguards are in place, such as adequacy regulations or standard contractual clauses.

8. Your rights

Under UK GDPR you have the right to:

  • Access the personal data we hold about you (free of charge)
  • Correct inaccurate or incomplete data
  • Erase your data in certain circumstances
  • Restrict or object to processing in certain circumstances
  • Data portability — receive your data in a structured, machine-readable format
  • Withdraw consent at any time, where processing is based on consent

If you are unhappy with how we have handled your data, you can complain to the Information Commissioner's Office at ico.org.uk or on 0303 123 1113. We would appreciate the chance to resolve your concern first.
